Finding your order number and email</h2>\n<p>As soon as you place an order, we send a confirmation email to the address you entered at checkout. The order number appears in the subject line and near the top of the message. If you cannot find the email, search your inbox for &#8220;Warm Heart Gifts&#8221; and check your spam, junk or promotions folders. Some email services file order emails under a separate tab.</p>\n<p>The form above needs the billing email, which is the email you entered at checkout, even if the gift was delivered to someone else. If you placed the order as a guest and no longer have the confirmation, write to <a href=\"mailto:support@warmheartgifts.com\">support@warmheartgifts.com</a> with your name, the delivery address and the approximate order date, and we will look it up for you.</p>\n<p>If you received a gift and want to follow its journey, the person who ordered it can share the tracking link with you, or you can write to us with the delivery address and your name; we can confirm the delivery status without sharing order details that belong to the buyer.</p>\n<h2>2. What each status means</h2>\n<table class=\"policy-table\">\n<caption>Order and delivery statuses and what to do at each</caption>\n<thead>\n<tr>\n<th scope=\"col\">Status</th>\n<th scope=\"col\">What it means</th>\n<th scope=\"col\">What you should do</th>\n</tr>\n</thead>\n<tbody>\n<tr>\n<td>Pending payment</td>\n<td>The order was started but payment has not been confirmed.</td>\n<td>If you completed payment, wait a few minutes and refresh. If it stays pending, write to us; do not pay twice.</td>\n</tr>\n<tr>\n<td>On hold</td>\n<td>We paused the order, usually to ask you a question about the text, the address or the payment.</td>\n<td>Check your email for our message and reply; we cannot continue until we hear from you.</td>\n</tr>\n<tr>\n<td>Processing</td>\n<td>Payment is confirmed and your gift is being made, usually within 1–3 business days.</td>\n<td>Nothing, unless you need a change. Changes are free within 24 hours of ordering.</td>\n</tr>\n<tr>\n<td>Shipped (Completed)</td>\n<td>The parcel has been handed to the carrier. A tracking email is on its way.</td>\n<td>Use the carrier link in your shipping email. The first scan can take 24 to 48 hours to appear.</td>\n</tr>\n<tr>\n<td>In transit</td>\n<td>The carrier is moving the parcel. International parcels pass between carriers.</td>\n<td>Allow 7–14 business days. Short pauses at hand-overs are normal.</td>\n</tr>\n<tr>\n<td>Out for delivery</td>\n<td>The parcel is with the local driver or postal service today.</td>\n<td>Make sure someone can receive it, or that it can be left safely.</td>\n</tr>\n<tr>\n<td>Delivered</td>\n<td>The carrier recorded the parcel as delivered.</td>\n<td>If you cannot find it, see section 5.</td>\n</tr>\n<tr>\n<td>Delivery exception</td>\n<td>The carrier could not deliver, for example because of an incomplete address, a closed building or a customs question.</td>\n<td>Read the carrier&#8217;s note and write to us with your order number; we help arrange redelivery.</td>\n</tr>\n<tr>\n<td>Cancelled</td>\n<td>The order was cancelled at your request or because we could not verify it.</td>\n<td>Your refund reaches your original payment method within 7 days of the cancellation being confirmed.</td>\n</tr>\n<tr>\n<td>Refunded</td>\n<td>A refund has been issued for all or part of the order.</td>\n<td>Allow up to 7 days for it to appear; write to us if it does not.</td>\n</tr>\n</tbody>\n</table>\n<h2>3. Why there are two stages</h2>\n<p>Every gift is made after you order. For the first 1–3 business days, your order is in our hands: we read the personalisation, print the gift, check it and pack it. During that time there is no carrier tracking yet, because there is no parcel yet. Once we hand the parcel over, the carrier&#8217;s tracking takes over and the parcel usually reaches the United States, Canada, Australia or New Zealand within 7–14 business days. That is why the total estimate is about 8–17 business days, and why a few days of &#8220;Processing&#8221; are expected rather than a sign of a problem.</p>\n<h2>4. Reading international tracking</h2>\n<p>Parcels to Canada, Australia and New Zealand start with a US carrier and are handed to a local postal service in the destination country. A few patterns are normal:</p>\n<ul>\n<li><strong>A quiet stretch after export.</strong> After a parcel leaves the United States, tracking may not update for several days while it flies and waits for customs.</li>\n<li><strong>A new tracking number.</strong> Some local services show the parcel under their own number. The original link usually still works, or the shipping email names the local service.</li>\n<li><strong>Customs scans.</strong> &#8220;Held by customs&#8221; or &#8220;Presented to customs&#8221; is a routine step. If duties or taxes are due, the local service contacts the recipient.</li>\n<li><strong>Different time zones.</strong> Scans are recorded in local time, so events can appear out of order by a few hours.</li>\n</ul>\n<h2>5. If tracking says delivered but you cannot find it</h2>\n<ol>\n<li>Check porches, side doors, garages, mailboxes, parcel lockers and behind planters.</li>\n<li>Ask neighbours and building reception, and check with the local post office for a card or held parcel.</li>\n<li>Wait one more business day. Carriers sometimes scan a parcel as delivered shortly before it actually arrives.</li>\n<li>If it is still missing, write to us within 60 days of the delivery date with your order number and delivery address. We open a claim with the carrier and help you from there.</li>\n</ol>\n<h2>6. Late and lost parcels</h2>\n<p>If your tracking has not updated for 7 business days, or your parcel has not arrived 7 business days after the latest estimate on our <a href=\"/shipping-delivery/\">Shipping &amp; Delivery</a> page, write to us with your order number. You do not need to contact the carrier yourself. We open an investigation, keep you informed, and if the carrier confirms the parcel is lost, or the investigation is not resolved within 5 business days, we remake and resend your gift free of charge or refund you in full, whichever you prefer. Our <a href=\"/refund-policy/\">Refund Policy</a> explains the timing.</p>\n<h2>7. If the parcel is coming back to us</h2>\n<p>Occasionally tracking shows &#8220;Return to sender&#8221;, usually because an address was incomplete or a parcel was not collected from a post office in time. When it reaches us, we contact you to confirm the address and reship it once free of charge. If you would rather cancel, we refund the order in full once the parcel is back.</p>\n<h2>8. Tracking a gift that should arrive by a certain day</h2>\n<p>If a gift is for a fixed date, check tracking a few days before. If it looks unlikely to arrive in time, write to us; we cannot speed up a carrier, but we can tell you honestly what to expect so you can plan, for example by letting the recipient know a gift is on its way. We would rather you know early than be surprised on the day.</p>\n<h2>9. Changes after the parcel has shipped</h2>\n<p>Once a parcel is with the carrier we cannot change what is inside it. For an address change, we can ask the carrier to redirect the parcel, although the carrier decides whether that is possible, and international parcels often cannot be redirected after they leave the United States. For a change to the gift itself, let it arrive and use our <a href=\"/returns-exchanges-policy/\">Returns &amp; Exchanges Policy</a>: 60 days, with free return postage.</p>\n<h2>10. The emails you can expect</h2>\n<table class=\"policy-table\">\n<caption>Emails sent during an order</caption>\n<thead>\n<tr>\n<th scope=\"col\">Email</th>\n<th scope=\"col\">When it arrives</th>\n<th scope=\"col\">What to check</th>\n</tr>\n</thead>\n<tbody>\n<tr>\n<td>Order confirmation</td>\n<td>Within minutes of ordering</td>\n<td>Names, dates, sizes and the delivery address. You have 24 hours to change anything free of charge.</td>\n</tr>\n<tr>\n<td>A question from us (only if needed)</td>\n<td>Within 1–3 business days</td>\n<td>Reply as soon as you can; your order is paused until we hear from you.</td>\n</tr>\n<tr>\n<td>Shipping notice with tracking</td>\n<td>When the parcel is handed to the carrier</td>\n<td>The tracking link and the carrier&#8217;s name.</td>\n</tr>\n<tr>\n<td>Change, cancellation or refund confirmation</td>\n<td>When we complete your request</td>\n<td>That the change or amount matches what you asked for.</td>\n</tr>\n</tbody>\n</table>\n<p>Add support@warmheartgifts.com to your contacts so these emails reach your inbox. We never ask for passwords or card details in any of them.</p>\n<h2>11. Delivering to particular kinds of address</h2>\n<p><strong>Apartments and flats:</strong> include the unit or flat number on the first address line. A missing unit number is the most common reason a parcel is returned. <strong>Rural addresses:</strong> include any road or lot number your local carrier uses; in New Zealand, a rural delivery number helps. <strong>Hospitals and care homes:</strong> add the ward, room or department and the recipient&#8217;s full name. <strong>Workplaces:</strong> include the company name and the floor or department, and remember that offices may be closed on weekends, which can delay a delivery scan.</p>\n<h2>12. Tracking questions we are asked</h2>\n<h3>My order has said Processing for two days. Is something wrong?</h3>\n<p>No. Making takes 1–3 business days, and the status stays Processing until the parcel is handed to the carrier. Weekends and US public holidays do not count as business days.</p>\n<h3>The tracking link says &#8220;label created&#8221; and nothing else.</h3>\n<p>The label is created when the parcel is packed. The first carrier scan can take 24 to 48 hours to appear. If nothing changes after 3 business days, write to us.</p>\n<h3>Can I track a parcel I sent to someone else?</h3>\n<p>Yes. The shipping email goes to the buyer&#8217;s address, and the tracking link works for anyone you share it with.</p>\n<h3>The parcel is at a post office and the recipient is away.</h3>\n<p>Local post offices in all four countries hold parcels for a limited time, often one to three weeks, before returning them. If the recipient is travelling, ask the post office about extending the hold, or let us know so we can watch for a return. If the parcel comes back to us, we reship it once free of charge.</p>\n<h3>Customs is asking the recipient to pay something. Is that from you?</h3>\n<p>No. Import duties or taxes on parcels to Canada, Australia or New Zealand are set and collected by those countries, not by Warm Heart Gifts. Genuine requests come from the local postal or customs service. If a message asks for payment through an unfamiliar link, check with the local service directly before paying.</p>\n<h3>Two parcels for one order?</h3>\n<p>Occasionally a larger order ships in more than one parcel, for example a canvas and a mug packed separately. Each parcel has its own tracking, and both appear in your shipping email.</p>\n<h2>13. Need help with tracking?</h2>\n<p>Write to <a href=\"mailto:support@warmheartgifts.com\">support@warmheartgifts.com</a> or <a href=\"/submit-ticket/\">submit a ticket</a> with your order number and, if you have it, the tracking number. We reply within 1 business day.
